A tour director looks after a coach full of travellers across many cities. Today the tour lives in a group chat, a printed list, a spreadsheet, an email thread and a folder of vouchers. Nothing connects them.
- Diets and allergies get lost between the booking, the list and the restaurant.
- Rooming lists are wrong by the time the hotel prints them.
- Money is tracked on paper. Optionals, tips and receipts are counted by hand at the end.

The tour director builds the tour once. Every other view comes from it, so when the tour changes, every view changes too.

- A web app with Now and Next for the day, dinner choices and messages. The meeting point, the hotel and help numbers stay on the phone without signal. Nothing to install.

- Open the tour with an access code, confirm the reservation, add room numbers and print the rooming list.
- Drivers
- The next stop and tonight's hotel, plus the luggage list when luggage tracking is on. No health notes.
- Group leaders
- Their own group, its rooms and the day's plan, opened with an access code.
- Companies
- A company account sees the tours its tour directors share with it: the schedule, hotels, suppliers, guests and rooms, read only. Diet, health and money notes stay with the tour director unless the tour director gives them edit access.
- Document import
- Upload the tour PDFs. The platform reads the itinerary, rooming list and suppliers, and an outside AI service can double-check the reading. You review every row before saving, and rows only the AI found start unticked. Undo puts the tour back.
Built to hold guest data safely.
A tour holds names, rooms, birthdays and health notes, and on school tours, children's details. This is what protects them.
- Hosted in the UK
- The main servers are in a UK data centre. A few processors, such as the AI services, are outside the UK and are listed in the privacy policy.
- Tools for UK and EU GDPR
- Export a person's data (Article 15) and erase it on request. A daily clean-up job removes personal data 90 days after the tour ends.
- Health notes encrypted
- Diet, allergy and mobility notes are encrypted when they are saved. The keys are kept outside the database.
- Encrypted backups
- Daily backups are encrypted with a key the server itself cannot read.
- Two-step sign-in
- Tour directors enter an emailed code unless they chose to trust the device. Admin sign-in asks for an authenticator app or an emailed code when set up.
- Tamper-evident audit log
- Admin and security actions go into a hash-chained log. A daily job checks the activity log.
