Please read these Terms and Conditions carefully before using My Tour Platform. By accessing or using the Service, you confirm that you have read, understood, and agree to be bound by these Terms in full. If you do not agree, you must not use the Service.
1. Definitions
In these Terms and Conditions, the following definitions apply:
- "Company," "we," "us," "our" refers to Aurea Futura LTD (Company No. 11132111), registered at 18 Spencer Road, London SW20 0QP, United Kingdom.
- "Service" or "Platform" refers to My Tour Platform, the web-based tour management application available at mytourplatform.com, including all associated features, tools, APIs, and content.
- "User" refers to any individual who accesses or uses the Service in any capacity.
- "Tour Director" or "TD" refers to a registered account holder who manages tours through the Platform.
- "Group Leader" refers to an individual granted limited access to a tour via a Group Leader access code issued by a Tour Director.
- "Traveller" refers to an individual whose personal data (name, room assignment, survey responses) is entered into the Platform by a Tour Director or Group Leader.
- "Hotel User" refers to a hotel or accommodation provider granted limited access to a tour via a Hotel access code issued by a Tour Director.
- "Subscriber" refers to a Tour Director who has purchased Tour Credits or a Season Pass on My Tour Platform.
- "Content" refers to all text, data, images, documents, receipts, vouchers, and other materials uploaded, generated, or transmitted through the Service.
- "Subscription" or "Plan" refers to the membership tier selected by a Tour Director, as detailed in the Membership Agreement.
2. About Us
My Tour Platform is operated by Aurea Futura LTD, a company incorporated in England and Wales under Company Number 11132111, with its registered office at 18 Spencer Road, London SW20 0QP, United Kingdom. We are not VAT registered. For all enquiries, contact us at hello@mytourplatform.com.
3. Acceptance of Terms
By creating an account, accessing, or using any part of the Service, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, our Privacy Policy, our Cookie Policy, and, if applicable, our Membership Agreement. These documents collectively form the entire agreement between you and Aurea Futura LTD with respect to your use of the Service.
If you are using the Service on behalf of an organisation (such as a tour company or educational institution), you represent and warrant that you have the authority to bind that organisation to these Terms.
4. Eligibility and Registration
- You must be at least 18 years of age to create a Tour Director account.
- You must provide accurate, complete, and current information during registration and keep your account details up to date at all times.
- You are solely responsible for maintaining the confidentiality of your login credentials. You must notify us immediately if you suspect any unauthorised use of your account.
- You are responsible for all activity that occurs under your account, including actions taken by Group Leaders, Hotel Users, and Travellers using access codes you generate.
- We reserve the right to refuse registration to any individual at our sole discretion.
5. Billing Options
My Tour Platform offers two billing options. Both unlock all platform features:

All prices are stated in British Pounds Sterling (GBP). Aurea Futura LTD is not VAT registered; therefore, no VAT is applied. Certain features (Supplier Book, E-Vouchers, Country Tracker, Luggage Tracking) require additional administrator approval and are toggled on a per-account basis. Full details are set out in the Membership Agreement.
6. Payment Terms
- All payments are processed through Revolut. By purchasing, you agree to Revolut's terms (Revolut Terms).
- Tour Credits are one-off purchases and do not renew. Credits never expire.
- The Season Pass is an annual one-time payment. It must be renewed each year to continue with unlimited tour access.
- If a Season Pass purchase fails, tour creation will require available credits until payment is resolved.
- We reserve the right to change prices with 30 days' written notice. Any price change applies to future purchases only.
7. Refund Policy
You may request a full refund within 30 minutes of your initial Season Pass payment. To do so, use the "Cancel & Get Refund" option on your subscription page within this window. After the 30-minute window, all payments for Season Passes, Tour Credits, and AI Boosts are non-refundable. Tour Credits never expire.
8. Billing Changes
- You may purchase additional Tour Credits at any time regardless of your current billing status.
- When a Season Pass expires or is not renewed, future tour creation will require available credits.
- When you have an active Season Pass, credits are not consumed for tour creation.
9. Acceptable Use
You agree to use the Service only for its intended purpose of tour management and related activities. You must not:
- Use the Service for any unlawful, fraudulent, or malicious purpose.
- Attempt to gain unauthorised access to other users' accounts, data, or any part of the Service's infrastructure.
- Share access codes (Group Leader, Hotel, or Traveller codes) with individuals who are not authorised to use them.
- Upload or transmit any content that is defamatory, obscene, discriminatory, threatening, or otherwise objectionable.
- Upload viruses, malware, or any other harmful code.
- Attempt to reverse-engineer, decompile, disassemble, or otherwise derive the source code of the Service.
- Use automated systems (bots, scrapers, crawlers) to access or extract data from the Service without our prior written consent.
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
- Interfere with or disrupt the integrity or performance of the Service or its underlying infrastructure.
- Use the Service to collect, store, or process personal data in violation of applicable data protection laws.
10. User Responsibilities
As a Tour Director, you acknowledge and accept the following responsibilities:
- You are responsible for the accuracy and completeness of all data you enter into the Platform, including tour details, passenger information, hotel assignments, and supplier contacts.
- You are the data controller (within the meaning of UK GDPR) for personal data of Travellers, Group Leaders, and other individuals whose information you enter into the Service. You must ensure you have a lawful basis for processing their data and have obtained any required consents.
- You are responsible for managing the access codes you generate and for the actions of anyone who accesses your tour data through those codes.
- You must review, verify, and correct all auto-generated content (emails, vouchers, confirmations, reports) before sending or distributing it to any third party.
- You must comply with all applicable laws and regulations in the jurisdictions in which you operate, including data protection, employment, and consumer protection laws.
11. Intellectual Property
The Service, including its design, code, graphics, logos, icons, user interface, and all related intellectual property, is owned by Aurea Futura LTD and is protected by copyright, trademark, and other intellectual property laws of the United Kingdom and international treaties.
- You may not copy, modify, distribute, sell, lease, or create derivative works based on the Service or any part thereof without our express written permission.
- The name "My Tour Platform," the associated logos, and all product or feature names are trademarks of Aurea Futura LTD. You may not use these marks without our prior written consent.
- Nothing in these Terms grants you any right, title, or interest in the Service or its intellectual property, except the limited right to use the Service in accordance with these Terms.
12. User-Generated Content and Data Ownership
- All tour data, passenger information, hotel details, supplier contacts, financial records, expense receipts, survey responses, and other content entered into the Service by you ("User Content") remains your property.
- Aurea Futura LTD does not claim ownership of User Content.
- By using the Service, you grant us a limited, non-exclusive, worldwide licence to store, process, and display your User Content solely for the purpose of providing and improving the Service. This licence terminates when you delete your content or your account.
- We may generate aggregated, anonymised statistical data from your use of the Service. Such data will never identify you or any individual and may be used to improve the Service or for business purposes.
- TD Radar: If you opt in to TD Radar, the city-level location information derived from your tour itinerary (city name and dates only) will be visible to other opted-in Tour Directors operating in the same region on that day. Hotel names, addresses, and GPS coordinates are never shared. You may disable TD Radar or set your status to invisible at any time from the dashboard. Expanding your visibility scope from “Company only” to “All TDs” requires explicit confirmation. Opt-in data is stored in accordance with our Privacy Policy.
13. AI-Generated Content
The Service includes an AI text generation feature available to all Tour Directors who have an active billing option (Season Pass or Tour Credits). By using this feature, you acknowledge and agree that:
- AI-generated content is produced by third-party artificial intelligence models and is provided on an "as is" basis without any warranty of accuracy, completeness, or fitness for any particular purpose.
- AI-generated text may contain errors, inaccuracies, inappropriate content, or factual mistakes. You must review, edit, and verify all AI-generated content before using, publishing, or distributing it.
- Aurea Futura LTD is not responsible for any loss, damage, or liability arising from your reliance on, use of, or distribution of AI-generated content.
- AI-generated content should not be treated as professional, legal, medical, financial, or any other form of expert advice.
- Data submitted to the AI feature may be processed by third-party AI service providers (such as OpenAI or Anthropic). Neither provider uses your data for training their models. Please refer to our Privacy Policy for details on how such data is handled.
14. E-Vouchers and Auto-Generated Documents
The Service provides electronic voucher generation features (hotel vouchers, service vouchers, tip vouchers). Access to specific voucher templates is controlled by the platform administrator on a per-account basis via an opt-in toggle. By using these features, you acknowledge and agree that:
- Vouchers are generated as aids and templates based on data you have entered. They are not binding contractual documents unless expressly agreed between you and the relevant supplier.
- Certain voucher templates may incorporate branding or formats associated with third-party tour operators. Access to such templates is restricted to authorised Tour Directors and is granted only by the platform administrator on a case-by-case basis. The relevant tour operator may request removal of such templates at any time.
- It is your sole responsibility to review, verify, and correct all voucher content before distribution to any supplier, hotel, or third party.
- Aurea Futura LTD accepts no liability for errors, omissions, or inaccuracies in vouchers, or for any consequences arising from their use, including but not limited to financial loss, booking errors, or contractual disputes with suppliers.
15. Third-Party Services
The Service integrates with or relies upon the following third-party services:
- Revolut — for subscription billing and payment processing.
- OpenAI / Anthropic — for AI text generation (available to all active accounts with AI enabled).
- OpenWeatherMap — for weather data displayed within tours.
Your use of these third-party services is subject to their respective terms and conditions. Aurea Futura LTD is not responsible for the availability, accuracy, or performance of any third-party service. We do not warrant that third-party integrations will be uninterrupted or error-free.
16. Service Availability
- We aim to provide continuous, uninterrupted access to the Service, but we do not guarantee 100% uptime or availability.
- The Service may be temporarily unavailable due to scheduled maintenance, system upgrades, security patches, or unforeseen technical issues.
- We will make reasonable efforts to provide advance notice of planned maintenance where practicable.
- We are not liable for any loss or damage caused by the temporary or permanent unavailability of the Service.
17. Limitation of Liability
To the fullest extent permitted by law:
- The Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, statutory, or otherwise, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
- Aurea Futura LTD, its directors, officers, employees, and agents shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising from or related to your use of, or inability to use, the Service.
- Without limiting the above, we shall not be liable for:
- Financial loss resulting from errors, typos, or inaccuracies in auto-generated emails, vouchers, reports, or any other content produced by the Platform.
- Job loss, reputational damage, or professional consequences resulting from incorrect or misleading information generated by the Service, including AI-generated content.
- Any consequences arising from misinformation, misinterpretation, or unverified data transmitted to third parties (hotels, coach companies, guides, restaurants, or other suppliers) through the Platform.
- Loss of data, unauthorised access to your account, or service interruptions beyond our reasonable control.
- Any acts or omissions of third-party service providers (Revolut, OpenAI, Anthropic, OpenWeatherMap).
- Losses arising from your failure to maintain the security of your account credentials or access codes.
- In any event, our total aggregate liability to you for all claims arising from or related to the Service shall not exceed the total amount paid by you to us in the twelve (12) months preceding the event giving rise to the claim.
Auto-generated emails, vouchers, and reports are produced as aids only and must be reviewed, verified, and corrected by the Tour Director before being sent or distributed to any recipient. The Tour Director assumes full responsibility for the accuracy and completeness of all communications sent using information generated by the Service.
18. Indemnification
You agree to indemnify, defend, and hold harmless Aurea Futura LTD, its directors, officers, employees, and agents from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or in connection with:
- Your use of the Service or any activity under your account.
- Your violation of these Terms or any applicable law or regulation.
- Your violation of any third party's rights, including intellectual property, privacy, or data protection rights.
- Any content you submit, upload, or transmit through the Service.
- Your use or distribution of auto-generated content, vouchers, or AI-generated text.
19. Account Suspension and Termination
- We reserve the right to suspend or terminate your account, without prior notice, if we reasonably believe that you have violated these Terms, engaged in fraudulent or unlawful activity, or used the Service in a manner that may cause harm to us, other users, or third parties.
- Upon termination, your right to access and use the Service ceases immediately. Any outstanding subscription fees remain due and payable.
- You may request the deletion of your account at any time by contacting us or using the self-service option in your profile. Account deletion is subject to our data retention obligations as described in the Privacy Policy.
- We reserve the right to delete accounts that have been inactive for a continuous period of 24 months, following reasonable attempts to contact the account holder.
20. Data Protection
We take the protection of personal data seriously. Full details of how we collect, use, store, and protect your data are set out in our Privacy Policy. By using the Service, you acknowledge and consent to the data practices described therein.
As a Tour Director, you act as a data controller for the personal data of Travellers, Group Leaders, and Hotel Users that you enter into the Platform. You are responsible for ensuring compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 in relation to such data.
We apply the principle of data minimisation by design. Our administration dashboard displays only aggregate, anonymous platform statistics. No personal data belonging to Tour Directors, travellers, tour companies, or their guests is visible to platform administrators through the dashboard. Database-level access for maintenance or data subject requests is performed only when strictly necessary and is recorded in the platform audit trail.
21. Modifications to These Terms
We may revise these Terms and Conditions from time to time. When we make material changes:
- We will update the "Last updated" date at the top of this page.
- For material changes affecting Subscribers, we will provide at least 30 days' notice via email or a prominent notice on the Platform before the changes take effect.
- Your continued use of the Service after the effective date of any revised Terms constitutes your acceptance of the changes.
- If you do not agree with the revised Terms, you must stop using the Service and, if applicable, cancel your subscription.
22. Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, such provision shall be modified to the minimum extent necessary to make it valid and enforceable, or if modification is not possible, it shall be severed from these Terms. The remaining provisions shall continue in full force and effect.
23. Waiver
No failure or delay by Aurea Futura LTD in exercising any right, power, or remedy under these Terms shall operate as a waiver thereof, nor shall any single or partial exercise preclude any further exercise of such right, power, or remedy.
24. Entire Agreement
These Terms, together with the Privacy Policy, Cookie Policy, and Membership Agreement, constitute the entire agreement between you and Aurea Futura LTD with respect to the Service and supersede all prior or contemporaneous communications, proposals, and agreements, whether oral or written.
25. Force Majeure
Aurea Futura LTD shall not be liable for any failure or delay in performing its obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to: natural disasters, pandemics, epidemics, acts of war or terrorism, civil unrest, government actions, power failures, internet or telecommunications failures, cyberattacks, or failures of third-party service providers.
26. Governing Law and Jurisdiction
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If you are a consumer resident in another part of the United Kingdom, you may also bring proceedings in the courts of your country of residence. Nothing in these Terms affects your statutory rights as a consumer.
27. Dispute Resolution
In the event of a dispute arising from or relating to these Terms or your use of the Service, you agree to first attempt to resolve the dispute informally by contacting us at hello@mytourplatform.com. We will endeavour to respond within 14 business days and to resolve the matter amicably.
If the dispute cannot be resolved informally within 30 days, either party may commence formal proceedings in the courts of England and Wales, or the parties may agree to use an alternative dispute resolution (ADR) service. For EU consumers, the European Commission provides an online dispute resolution platform at https://ec.europa.eu/consumers/odr.
